01Who we are

Ciiber LLC (“Ciiber,” “we,” “us” or “our”) is a New Jersey limited liability company at 766 Park Ave, Ste 2, Lakewood, NJ 08701, United States. We build and operate custom web, ecommerce and IT systems for our clients.

This Privacy Policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have. It covers ciiber.co, our text messaging program, our email and phone communications, and the services we provide directly to clients.

It does not cover data we process on behalf of a client as their service provider. When we host or maintain a client’s platform, that client is the controller of the data in it and their own privacy policy applies; we handle that data only on their instructions and under contract.

02Information we collect

Information you give us

  • Contact details — name, company, job title, email address, mobile or landline number, and postal address.
  • Enquiry content — the project details, budget range, timelines and any other information you type into our contact form or send us by email, text or phone.
  • Communications preferences — whether you have consented to receive text messages or email updates, and the date, method and wording of that consent.
  • Billing information — for clients, the details needed to invoice and take payment. Card numbers are entered directly with our payment processor; we do not store them.
  • Account credentials — for users of systems we operate, a username and a hashed password.

Information collected automatically

  • Device and connection data — IP address, user agent, browser and operating system, language, and approximate region derived from the IP address.
  • Usage data — pages viewed, referring URL, time on page and similar analytics, collected in aggregate.
  • Security logs — request logs and rate-limiting records kept to detect abuse and protect the site.

Information from other sources

We may receive your contact details from a colleague who refers you, from a client who asks us to work with you, or from publicly available business sources such as a company website or a professional network profile.

We do not intentionally collect special categories of data (health, biometrics, race, religion, precise geolocation and the like). Please do not send them to us.

03Mobile numbers and SMS consent

If you give us a mobile number and opt in to text messages, we record the number, the consent you gave, when and how you gave it, and the messages exchanged. This is described in full in our SMS Terms and Conditions.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Mobile numbers and consent records are disclosed only to the subcontracted messaging providers that transmit messages on our behalf, and only so that those messages can be delivered. Those providers act as our processors, may not use the data for their own purposes, and may not sell or share it.

You can withdraw SMS consent at any time by replying STOP to any message or by emailing us. Withdrawing consent does not affect messaging you already received, and we keep a record of the opt-out so that we can honor it.

04How we use information

We use personal information to:

  • respond to enquiries, prepare proposals and quote on work;
  • deliver, support, maintain and secure the services we have agreed to provide;
  • send transactional and service messages — confirmations, reminders, incident and maintenance notices, invoices and receipts;
  • send marketing about our own services, where you have opted in or where we are permitted to contact an existing business contact, always with a way to unsubscribe;
  • operate, debug and improve ciiber.co and the systems we run, including aggregate analytics;
  • prevent fraud and abuse, enforce our terms, and protect the rights and safety of our users and of Ciiber; and
  • comply with legal obligations, including tax, accounting and record-keeping rules and the consent records that telecommunications regulations require us to retain.

We do not use personal information for automated decision-making that produces legal or similarly significant effects, and we do not use it to train third-party machine-learning models.

05Legal bases (EEA and UK)

Where the GDPR or UK GDPR applies, we rely on the following legal bases: performance of a contract with you; our legitimate interests in running, securing and marketing our business, balanced against your rights; your consent, where we ask for it (for example for text messages or non-essential cookies); and compliance with a legal obligation.

You may withdraw consent at any time without affecting processing done before you did.

06How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We disclose it only as follows:

  • Service providers — hosting and infrastructure, email delivery, SMS delivery, payment processing, analytics, error monitoring, and business tools such as accounting and support software. They act on our instructions, under contract, and may not use the data for their own purposes.
  • Professional advisers — lawyers, accountants and insurers, where needed and under a duty of confidentiality.
  • Legal and safety — where we must comply with law, a subpoena or a court order, or where disclosure is necessary to investigate fraud or protect rights and safety.
  • Corporate transactions — if we are involved in a merger, acquisition or sale of assets, information may transfer to the successor, which remains bound by this Policy for information collected under it.
  • With your direction — anything else you explicitly ask us to share.

Mobile numbers and SMS consent data are excluded from all of the above except delivery by our messaging providers and disclosure required by law, as stated in section 3.

07Cookies and analytics

ciiber.co uses a small number of cookies and similar technologies. Strictly necessary cookies keep the site working — session state, security and abuse prevention — and cannot be switched off. Any analytics we use is configured to measure aggregate traffic, not to build advertising profiles, and we do not run third-party advertising or retargeting pixels on this site.

Most browsers let you block or delete cookies in their settings. Blocking necessary cookies may stop parts of the site from working. We do not currently respond to browser “Do Not Track” signals, but we honor Global Privacy Control opt-out signals where applicable law requires it.

08How long we keep information

We keep personal information only as long as we need it for the purpose it was collected for, and then delete or anonymize it. In practice:

  • Enquiries that do not become projects — up to 24 months, so we can pick the conversation back up.
  • Client records, contracts and invoices — for the life of the engagement and then as long as tax, accounting and limitation rules require, typically seven years.
  • SMS consent and opt-out records — for as long as we message the number and for at least four years after, because regulations require us to be able to prove consent and to keep honoring an opt-out.
  • Server and security logs — normally 30 to 90 days, longer if needed to investigate an incident.

09Security

We protect information with encryption in transit (TLS) and at rest, least-privilege access controls, multi-factor authentication on administrative accounts, network and application logging, and regular patching of the systems we operate. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your personal information we will notify you and the relevant regulators where the law requires it.

10Your rights and choices

Depending on where you live, you may have the right to:

  • know what personal information we hold and get a copy of it;
  • correct information that is inaccurate or incomplete;
  • delete information, subject to our legal retention duties;
  • receive your information in a portable, machine-readable format;
  • opt out of the sale or sharing of personal information and of targeted advertising — note that we do none of these;
  • limit the use of sensitive personal information — we do not collect it;
  • object to or restrict certain processing, and withdraw consent; and
  • not be discriminated against for exercising any of these rights.

Residents of New Jersey have these rights under the New Jersey Data Privacy Act; residents of California, and of other U.S. states with comprehensive privacy laws, have equivalent rights under their own statutes; residents of the EEA and UK have them under the GDPR.

How to exercise them

Email hello@ciiber.co with the request and the email address or phone number you deal with us under. We will verify your identity before acting — usually by confirming control of that email address or number — and respond within 45 days, extendable once by a further 45 days if the request is complex. An authorized agent may submit a request on your behalf with written proof of authority. If we refuse a request we will explain why, and you may appeal by replying to our response; you may also complain to your state attorney general or supervisory authority.

11Marketing choices

Every marketing email we send has an unsubscribe link in the footer, and unsubscribing takes effect immediately. For text messages, reply STOP to any message. You will still receive transactional messages about work in progress, invoices and security, because those are part of providing the service — to stop those too, close your account or contact us.

12Children

Our site and services are for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email us and we will delete it.

13International transfers

We are based in the United States and our infrastructure providers operate globally, so information may be processed in the United States and in other countries whose data protection laws differ from those where you live. Where we transfer personal information out of the EEA or UK, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses, together with technical and organizational measures.

14Third-party sites

Our site links to services we do not control, including our own profiles on third-party platforms. Their privacy practices are their own, and this Policy does not apply to them. Read their policies before giving them information.

15Changes to this policy

We may update this Privacy Policy as our services or the law change. The current version is always posted at ciiber.co/policies/privacy and the effective date at the top shows when it last changed. If a change materially affects how we use information we already hold, we will give notice by email or on the site before it takes effect.
